Custom document naming and automatic SharePoint sync

Every broker ends up with their own filing habits: a naming pattern for client documents, a folder structure that makes sense to them, a place they trust to keep everything. The problem is that most software doesn't respect that. It picks a naming convention for you, or it keeps your documents locked inside the platform instead of landing in the storage you already use and back up.

We've rebuilt how Effi handles this. You can now sync accepted documents straight into your own SharePoint, and you decide exactly how they're named when they get there.

Connect your SharePoint in two fields

Under your profile, go to Settings > Integrations and toggle SharePoint sync on. Point it at your SharePoint site and the root folder you want documents to land in, save, and you're connected. From that point on, documents accepted in Effi flow into that folder automatically, no manual export, no dragging files between systems.

A naming pattern that's actually yours

Right next to the SharePoint setup is the document naming configurator. This is where you decide what a filename looks like the moment it lands in SharePoint: pick a space, a date format, and a name format, and Effi already ships with a sensible default so you don't have to touch it if you don't want to.

But if you do want to touch it, you're in full control. Type a parenthesis and you'll get a list of fields you can drop straight into the pattern, client name, document type, date, whatever your team's convention actually is. Set it once per document type and every file that comes through follows it, consistently, without anyone having to rename a thing by hand.

What it looks like in practice

We ran this with a real lead, Harrison Cole, who'd uploaded his documents through Effi's SmartFill AI capability. Once his documents were reviewed and accepted in the Documents tab, they synced straight through to SharePoint, sitting alongside every other client's folder, each file named exactly to the pattern we'd configured. No cleanup pass, no renaming, no wondering which version of a file was current.

Why this matters

A document is only useful if you can find it again in six months, and "find it again" depends entirely on consistent naming and a folder structure you trust. Handing that control back to brokers, rather than baking in someone else's assumptions, means your SharePoint stays exactly as organised as your process already is. Effi just does the filing for you.
