A visual guide to broker workflow stages
Most brokers know their process instinctively, but when the team grows, that knowledge lives in people's heads instead of the system. Mapping stages visually helps everyone see where handoffs happen and where deals stall.
Before the diagram
Start by naming the stages you already use: enquiry, fact-find, pre-approval, lodgement, conditional approval, and settlement. If your list differs, that is fine. Consistency matters more than copying someone else's labels.
Each stage should have a clear owner, a checklist of done items, and one place where documents and notes live. When those three things are missing, clients get duplicate questions and internal chat becomes the source of truth.

After the diagram
Use the visual as a team exercise, not wall art. Ask where enquiries wait too long, where documents get re-requested, and where status updates still go out manually.
Fix one stage at a time. Enquiry-to-appointment is usually the highest-leverage starting point. It is visible to clients and sets the tone for everything that follows.
